Job Purpose

We're looking for a detail-oriented and highly organised Data Analyst who is not only comfortable with CRM data management but also passionate about optimising HubSpot processes and documenting best practices. You’ll be supporting the Revenue Operations Analyst playing a key role in ensuring our CRM (HubSpot) supports the sales, marketing, finance and customer success teams effectively — through clean Contacts, Companies and Deals data, well-structured workflows, and clear, scalable processes. This junior role is crucial in ensuring the accuracy and integrity of data within HubSpot This is a hands-on role with a mix of manual data stewardship, process optimisation, and SOP documentation. You’ll work autonomously but collaboratively, helping shape how HubSpot is used across the organisation. Additionally, you will support reporting processes, training initiatives, and collaborate with Finance to ensure accurate deal tracking and invoicing.

This role requires a strong understanding of CRM management, with experience in data extraction and analysis, and a drive to stay up to date with the latest HubSpot features and releases. Responsibilities

HubSpot Management & Optimisation

  • Maintain clean, accurate, and up-to-date data across Contacts, Companies, Deals, and custom objects in HubSpot.
  • Support sales teams with CRM updates to ensure records reflect current opportunities, activities, and account statuses.
  • Manage and maintain CRM data records on a weekly basis, ensuring that all data is accurate, up-to-date, and easily accessible.
  • Proactively identify areas for CRM improvement, implementing scalable solutions in collaboration with Sales, Finance and Revenue Operations.
  • Translate business needs into efficient HubSpot configurations that improve usability, reporting, and automation.
  • Own and improve the setup and documentation of key HubSpot components, including Forms, Lists, Workflows, and Sequences, Products, Line items, Contracts, and Documents.

Data Governance & Integrity

  • Clean, deduplicate, and enrich CRM data across core objects to maintain high data quality standards.
  • Regularly audit HubSpot data to ensure accuracy, completeness, and compliance with internal data governance policies.
  • Ensure deal records are accurate and aligned with invoicing, reporting, and forecasting processes.
  • Collaborate with Sales and Finance teams to ensure Deals are correctly flagged for invoicing and updated for reliable reporting and forecasting.
  • Monitor and enforce data governance policies to ensure CRM records of contacts, companies and deals maintain high data integrity, flag discrepancies and take corrective actions.

Reporting & Analytics

  • Assist with monthly and ad-hoc sales reporting by ensuring HubSpot data is structured and accurate.
  • Assist the Revenue Operations Analyst to prepare dashboards and provide data-driven insights to support leadership decision-making.
  • Monitor key performance metrics and flag discrepancies or trends that impact revenue reporting.

Process & Training Support

  • Assist with the creation, management & documentation of standard operating procedures (SOPs) for HubSpot usage across the entire business.
  • Maintain up-to-date HubSpot training materials and guides to ensure team adoption of best practices and assist with training new and existing users.
  • Assist with training new and existing users on HubSpot best practices, to ensure data standards are followed and processes understood.
  • Identify and address bottlenecks in workflows to improve efficiency and team productivity whilst maintaining up-to-date training documentation.

Cross-Functional Collaboration

  • Collaborate with Sales, Marketing and Customer Success to ensure alignment between systems, data, processes, and support cross-functional initiatives.
  • Coordinate with Finance to ensure deals in HubSpot are accurately flagged for invoicing and any issues are resolved promptly.
  • Act as a liaison between Sales and Revenue Operations to ensure a seamless flow of data and communication.
  • Support cross-functional initiatives where CRM data or processes play a critical role.

General & Administrative Support

  • Provide administrative support to the Revenue Operations Analyst and Sales Leadership team as and when needed.
  • Manage documentation and process flows within, ensure consistency and accuracy in all records and key sales activities.
  • Assist in coordinating meetings, tasks, and communication related to CRM operations and sales support.
  • Take ownership of ad hoc tasks and special projects as the needs of the Revenue Operations team evolve.

Experience required

  • 2–3 years' experience in a Data analyst or similar administrative role with a strong focus on CRM management (HubSpot preferred).
  • 2-3 years’ experience with Advanced Excel, including formulas, data cleaning, and data validation techniques.
  • 1–2 years' experience writing and maintaining internal documentation or Standard Operating Procedures (SOPs) for tools and processes.
  • Proven experience managing, maintaining, and optimising a CRM, including hands-on work with workflows, forms, sequences, pipelines, lists, and more.
  • Strong background in data management, including data cleansing, deduplication, manipulation, and governance practices.
  • Familiarity with sales pipeline management, deal workflows, forecasting, and supporting revenue reporting.
  • Demonstrated ability to work cross-functionally with teams such as Sales, Marketing, Customer Success, and Finance.

  • HubSpot Proficiency: Confident navigating and optimising HubSpot CRM, including forms, workflows, sequences, and custom objects.
  • Attention to Detail: Strong focus on accuracy and consistency, especially when managing CRM data and documentation.
  • Process-Oriented: Able to translate business needs into structured processes and workflows, and document them clearly.
  • Autonomous & Proactive: Capable of working independently, taking initiative, and owning projects from start to finish.
  • Analytical Mindset: Comfortable interpreting data to support reporting accuracy, identify issues, and drive improvements.
  • Communication Skills: Strong written and verbal communication skills; able to write clear SOPs and communicate processes to stakeholders.
  • Collaboration: Experience working closely with diverse teams to align on data standards, troubleshoot issues, and improve system use.
  • Organisation & Multitasking: Able to manage multiple tasks and priorities in a fast-paced, evolving environment.
  • Adaptability: Comfortable with change, eager to learn, and able to pivot as new business needs or system features arise.
